What Is DocuWare?
DocuWare is far more than a digital archive. It's a cloud-based or On-Prem document management and enterprise content management (ECM) platform that captures, organizes and automates the workflows behind your business documents - contracts, invoices, HR records and more. Every organization has the same quiet problem: the answers it needs already exist, buried somewhere in a contract, an invoice, an email thread or a policy document. Finding them usually means someone stopping what they are doing to search folders, guess at keywords, or ask a colleague who might remember where the file went. What Is DocuWare Aura?

DocuWare Aura is a generative AI component built directly into the DocuWare platform. Rather than a separate chatbot bolted onto the system, Aura is an agentic retrieval-augmented generation (RAG) engine that works with a company's own documents as its only source of truth. Instead of returning a list of files that might contain the right keyword, Aura reads, interprets and reasons across the archive to give a direct answer - and shows exactly which document it came from.

In practice, that looks like this: a user simply types a question in natural language, such as "Which of our supplier contracts include a penalty clause for late delivery?" or "Summarize the invoices from our top three vendors last quarter." Aura searches the relevant file cabinets, extracts the answer, and returns it with citations pointing back to the source documents - so the answer can always be verified, never just taken on faith.

Finding Documents: Today vs. With Aura

How search works today: Today, finding a document in DocuWare typically means searching by index values such as invoice number, vendor name or date, running a full-text search across a file cabinet, or browsing a folder structure until the right file turns up. That works well when you know roughly what you are looking for - but it still returns documents, not answers. You still have to open each result, read it, and pull out the fact you actually needed.

How search will work with Aura: With DocuWare Aura, the first part - finding the relevant documents - still happens in the background, exactly as before. What changes is what happens next: instead of a list of files to open and read, you ask your question in your language and Aura reads the matching documents itself, then hands you a direct answer with a citation back to the source. The search is the same; what you receive at the end is completely different.

Aura can also:
• Answer questions directly from stored contracts, invoices, HR files and other business documents
• Summarize and compare multiple documents at once, surfacing differences a manual review might miss
• Support day-to-day decisions by pulling relevant facts together in seconds instead of hours

For finance, HR, procurement, legal and compliance teams, the value is immediate. Accounts payable staff can ask about payment terms across hundreds of supplier contracts without opening a single one manually. HR teams can locate specific clauses across employee files in seconds. It works only with a customer's own document repository, runs securely within the DocuWare environment, and does not rely on public, general-purpose AI models trained on external data. The documents stay where they belong, and so does control over them.
